Remote printer troubleshooting, starting with the driver.

Most printer calls are a driver that Windows Update replaced with a generic one, and the fix takes eleven minutes. The rest are an IP address that moved, a scan-to-email profile with an expired password, or a label printer set to the wrong media size. All of it is screen-side. From $45 per 30-minute block.

Printer offline: the usual three causes

“Printer offline” on Windows almost never means the printer is off. It means the computer is talking to an address where the printer used to be.

The printer took a new IP address from the router after a power cut, and the Windows port still points at the old one. Or the port is set to WSD, Microsoft's discovery protocol, which loses the printer every time the laptop sleeps. Or SNMP status checking is on, the printer does not answer SNMP the way Windows expects, and Windows marks it offline while it would print perfectly well. We check all three in that order.

The fix that lasts: a DHCP reservation on the router so the printer keeps one address, then a Standard TCP/IP port on each computer pointing at that address, with SNMP status off if the model misbehaves. Fifteen minutes per office, plus five per extra computer. If you cannot log in to the router we use a static address on the printer itself and write it down for you.

Generic driver against the maker's own

Windows Update likes to install “Microsoft IPP Class Driver” or a universal PCL6 driver over the one the manufacturer wrote. It prints. It also loses duplex, the second tray, the stapler, toner levels and any sane paper size handling. Then a print job of forty pages comes out single-sided from the wrong tray and someone calls us.

We remove the generic driver from Print Management, install the maker's full driver package, and set the defaults you actually use: duplex on, letter size, tray 2 for letterhead if you have it. On macOS we pick the right PPD rather than AirPrint when the model needs finishing options AirPrint does not expose.

Scan to email and scan to folder

Scan to email broke for a lot of offices when Microsoft 365 and Google Workspace switched off basic SMTP sign-in. The printer still holds an old password and the mail server refuses it. There are two clean fixes. One is SMTP AUTH with an app password on a dedicated mailbox, where the tenant still allows it. The other is a send connector or SMTP relay that accepts mail from your office's public IP. We tell you which your tenant permits before we change anything.

Scan to folder is the alternative we often prefer. A shared folder on one computer, a local user for the scanner with a long password, SMB2 or later, and the address book entry on the printer pointing at it. No mail server involved. It keeps working when somebody changes their email password.

  • SMTP server, port 587, STARTTLS, set on the printer's web admin page with you watching.
  • A test scan to two addresses before we disconnect.
  • SMB1 left off. If the printer only speaks SMB1, we say so and use email instead.

Label printers

Shipping labels from ShipStation, Shopify, eBay or UPS WorldShip come out as 4 by 6 inches. The driver often defaults to 4 by 4 or to letter, so half the label lands on the next one. We set the stock in the driver, run the printer's own calibration, and set the browser's print dialog to actual size, not “fit to page”. Zebra printers get the ZDesigner driver. Dymo gets Dymo Connect, not the old DLS software, on anything bought after 2021.

Where it stops being a remote job

We don't open the printer. A paper jam that will not clear, a fuser error code, a grinding noise, streaks from a scratched drum, an inkjet head clogged past three cleaning cycles: those are hands-on faults. If we see one in the first ten minutes we tell you, write down the error code and the part, and stop the clock with no fee for that session. That is how we work. It is not a promise about the printer.

Have the printer switched on and on the network before the session. A photo of the display or the configuration page it prints saves a lot of time.
