Outlook setup help when the password box will not go away.
Outlook asking for a password every four minutes is the single most common call we take. Usually it is a stale token in Windows Credential Manager, sometimes a profile that still points at an old server. We clear it, rebuild the profile if needed, and set up Microsoft 365 or Google Workspace mailboxes properly. From $45 per mailbox.
Outlook keeps asking for a password
You type the right password. It accepts it. Four minutes later the box is back.
Nine times in ten that is Outlook holding an old sign-in token after a password change, an MFA reset or a licence move. Windows keeps those tokens in Credential Manager under entries starting with MicrosoftOffice16 and in the Web Account Manager. We remove the stale ones, sign out of every Office app, sign back in once, and the loop stops. Fifteen minutes.
The tenth case takes longer. Modern authentication turned off by a registry key someone set years ago to “fix” something else. An old Exchange server still answering Autodiscover at the office domain, so Outlook keeps trying to reach a mailbox that moved to Microsoft 365 in 2019. A conditional access rule that blocks the device. We find which one it is, fix what sits on the computer, and write down exactly what your tenant admin needs to change if the cause sits in the admin centre and you do not hold that login.
- Credential Manager and the Office identity cache cleared, with you watching which entries go.
- Autodiscover tested with Microsoft's own connectivity check.
- A new Outlook profile built only if the old one is damaged. The old one is kept, not deleted, until you say so.
Microsoft 365 and Google Workspace mailbox setup
New mailbox on a new or existing computer. For Microsoft 365 that means Outlook classic or new Outlook, whichever you use, with the shared mailboxes and calendars you have rights to, the signature, and the archive policy shown so you know where old mail goes. For Google Workspace it means either Gmail in the browser done properly, or Outlook with Google Workspace Sync, which we only recommend when someone insists on Outlook.
Phones count as part of the mailbox. Outlook for iOS or Android, or the native Mail app with Exchange, with MFA approved on the spot so you are not locked out the next morning.
| Job | What it involves | Typical time |
|---|---|---|
| Password loop | Token cleanup, sign-in, test | 15 to 30 min |
| New mailbox on one computer and phone | Outlook, shared calendars, signature, MFA on phone | 30 to 45 min |
| Outlook profile rebuild | New profile, cache resync, rules and signatures moved | 30 to 60 min |
| Shared mailbox not showing | Permissions check, automapping, manual add | 15 min |
| Mailbox move between providers | Export, import, DNS records, forwarding during the switch | Quoted per mailbox |
Mailbox moves
GoDaddy-hosted Microsoft 365 to a direct tenant. An old IMAP host to Google Workspace. Gmail personal to a company mailbox. The mail itself moves with the provider's migration tool where there is one, or with an Outlook PST export and import for small mailboxes under 10 GB. The part people forget is DNS: the MX record, SPF, DKIM and DMARC have to change at the right moment or mail bounces for a day.
We plan the switch for an evening, lower the TTL on the MX record a day ahead, and keep forwarding on the old mailbox for two weeks. If you do not know who controls the domain's DNS, find that out before we book. It is the single thing that stalls most moves.
We never ask you to read a password aloud. You type it while we look away from the field, and we do not keep it.
What we will not do
We will not get into a mailbox that is not yours or that you are not the administrator of. A former employee's mailbox needs the tenant admin to grant access first; we can walk the admin through it. We do not bypass MFA for an account whose phone is lost; Microsoft and Google have recovery routes, and we sit with you through them. And a deleted mailbox past its 30-day retention is gone. We tell you so in the first call rather than bill time looking.
Tell us which mail system and what it does.
Microsoft 365, Google Workspace or something else, how many mailboxes, and the exact message if there is one. Leave a phone or an email; one is enough for us to reply.
